Depending on how you use The Event Pilot, we may process account details (name, email), company and customer CRM records, event and payment information, messaging content and metadata when a studio enables WhatsApp, Instagram, or Gmail integrations, Google Business Profile review content when a studio connects Google reviews, inventory photos captured on site, and basic device/app diagnostics needed to keep the service secure.
When a business owner or admin connects Google inside The Event Pilot, we may access Google account data only for the scopes they approve. Today that can include:
Google user data is used only to provide those Inbox and reviews features inside the connecting company’s workspace. We do not sell Google user data, do not use it for advertising, and do not use it to train generalized AI/ML models. Access tokens are stored securely and used only to call Google APIs for that company. A studio can disconnect Google integrations in Settings; after disconnect, we stop new Google API access for that connection.
Our use of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.
We use data to provide the product, authenticate users, process subscriptions, support customers, improve reliability and security, and meet legal obligations. Studio customers (tenants) control the CRM and event data they enter for their own clients.
We use subprocessors for hosting, email delivery, and payment processing (for example Razorpay for checkout). Messaging features may send content through Meta or Google when a studio connects those channels. We do not sell personal data.
We retain data while accounts are active and as required for billing, security, and legal compliance. Access is restricted by role and company tenancy. Mobile apps store auth tokens in platform secure storage where available.
Business admins manage their team and customer portal access, and can connect or disconnect Google, Meta, and similar integrations. Clients can ask their planner to update or remove portal login. For privacy requests about the The Event Pilot platform itself, email hello@theeventpilot.com.
We may update this policy as the product evolves. The “Last updated” date above will change when we do. Continued use of the service after an update means you accept the revised policy.
